PodMatrix is an application developed and operated by Guangzhou Soundbox Technology Co., Ltd. (also referred to as "AI Digital Matrix", "AIbox", "we", "us", or "our").
We take your privacy very seriously. We understand how important your personal information is, and we are committed to protecting it in accordance with applicable laws and industry best practices. This Privacy Policy explains how we collect, use, share, store, and protect your personal information when you use PodMatrix products and services (collectively, "PodMatrix Services" or "our Services"), and how you can manage your information.
Before you start using our Services, please read this Policy carefully – especially the terms in bold or underlined bold. By using our Services, you agree to this Privacy Policy. If you don't agree, please don't use our Services.
This Policy does not apply to third-party products or services, or to any PodMatrix products or services that have a separate privacy policy or agreement. When you use third-party services through PodMatrix, that third party's privacy policy applies – we strongly encourage you to read and understand it before using their service.

AI Digital Matrix Services – refers to the PodMatrix app (including its WeChat mini-program, website, and mobile app) and the AI Digital Matrix pod services.
PodMatrix – the provider of PodMatrix Services.
PodMatrix Service Provider – Guangzhou Soundbox Technology Co., Ltd.
PodMatrix Developer – Guangzhou Soundbox Technology Co., Ltd.
Joint Controllership – To provide you with our Services, the above PodMatrix service providers may share and jointly process your personal information. However, not all of your information will be shared with all affiliates – we only share what is necessary to provide the Services, and only for the purposes described in this Policy.
Affiliates – any company or legal entity that we now or in the future control, are controlled by, or are under common control with. "Control" means (1) owning more than half of the voting shares; (2) being entitled to more than half of distributable profits; (3) controlling more than half of the board of directors; or (4) owning more than half of the registered capital.
Personal Information – information that relates to you and can identify you, either alone or combined with other information. It does not include anonymized or aggregated information that cannot be linked back to you.
Sensitive Personal Information – includes email address, communication content (when using the service), phone number, facial photos, government ID numbers, financial information (e.g., bank account details), location tracking, precise geolocation, accommodation information, online identifiers, account credentials, passwords, browsing history, and personal information of children under 12.
"You" – anyone who uses our website, app, or other services. If you are also an employee or job applicant, a separate HR privacy policy applies to that context. This Policy only covers your use of our Services.
When you use our Services, there are two types of information collection:
Necessary – you must allow us to collect and use this information to provide the basic features of our Services. Without it, you cannot use our Services.
Optional – you can choose to allow us to collect and use this information for enhanced features. Without it, you can still use basic features, but some extras won't work.
To comply with laws and provide you with personalized services, when you register for a PodMatrix account (on our website, mini-program, or app), you must provide at least your mobile phone number to create an account. You may also provide a profile name and avatar. If you are a personal member, we need your mobile number to link you to your company's membership so you can use PodMatrix pods. If you only want to browse or search, you can visit our website without registering.
You may optionally provide additional info like gender, job title, bio, social media handles (WeChat, Xiaohongshu, Douyin), and skills. This is not required for basic functionality.
Location Information – To help you find nearby pods, with your permission we collect your location information. When you enable location services on your device and use our location-based features, we collect and use your location to recommend nearby pod spaces. We use technologies like IP address, GPS, Wi-Fi access points, Bluetooth, and cell towers. You can turn off location services in your device settings, but some features may not work as expected.
Log Information – When you use our Services, we collect browsing, search, clicks, favorites, likes, messages, shares, and other activity as log data, including your IP address, browser type, language, OS version, phone model, access times, carrier, and network requests.
When you make a payment through our mini-program, app, or website, you may use third-party payment services. We share your order information, payment details, and other legally required information with those payment partners to complete your transaction. Without this, we cannot process your order.
When you contact our customer support, we may record your communications and use your account info to verify your identity. If you need help with an order, we may look up your order details. If you ask us to update your info (e.g., delivery address or contact details), you may need to provide additional information.
To protect your account, transactions, and system security, and to comply with legal requirements, we collect your device information with your permission – including device model, identifiers (IMEI, Android ID, IDFA, OAID, SIM card IMSI, ICCID, etc.), MAC address, installed software list, carrier, and other hardware/software characteristics.
We may combine your personal information with information from our affiliates and partners (with your consent or as legally permitted) to assess risk, verify identity, and detect fraud, malware, or security threats.
If you visit a building or facility that partners with PodMatrix, note that our facilities have security cameras to protect the safety of our employees, members, visitors, and property. These recordings may be accessed by PodMatrix and, as required by law, may be shared with authorized members or third parties (including authorities). Recordings are kept for a limited time but may be retained longer if needed for investigations or as required by law.
To verify your identity, protect your account, confirm transaction status, and handle disputes, we may receive personal information from third parties with your permission (e.g., from payment processors or intermediaries to track transaction progress and prevent fraud). We will only use such information after confirming its lawful source.
If you participate in our partner programs (e.g., referral or event partnerships), we may ask for your name, email, phone number, etc., to contact you. If you provide someone else's personal information, you must have their permission and share this Privacy Policy with them.
You can choose to enable the following features. If you don't, you can still use basic Services.
If you enable camera permissions, you can take photos, record videos, and scan QR codes. For video with sound, you'll also need microphone permission. You can turn this off in your device settings. Without it, you can't scan codes or share photos/videos, but basic services still work.
If you enable photo library access, you can upload images and videos. You can turn this off anytime. Without it, you can't change your avatar or upload visual content, but basic services still work.
If you enable microphone access, you can use voice features like chat. You can turn this off. Without it, voice interaction won't work, but basic services still work.
If you allow access to your contacts, we can use that info (including public profile info like name and avatar) to speed up guest check-in. You can turn this off. Without it, you'll have to enter guest info manually.
If you enable calendar access, we can add events to your calendar or integrate with your work calendar for reminders. You can turn this off. Without it, calendar features won't work.
If you provide another person's information, you must have their legal permission.
If we use your information for a purpose not listed here, we will get your consent first.
If we receive your information indirectly from a third party, we will require that third party to confirm they obtained your consent. If their consent doesn't cover our intended use, we will get your consent separately. We will protect that information with the same security measures we use for directly collected information.
Exceptions where we don't need your consent (as permitted by law):
To comply with legal obligations
For national security or defense
For public safety or major public health concerns
For criminal investigations, prosecutions, or court orders
To protect your or another person's vital interests (e.g., life or property) when consent can't be obtained in time
For information you have made public yourself
For information lawfully obtained from public sources (e.g., news, government disclosures)
As necessary to perform a contract with you
To maintain security and stability of our Services (e.g., troubleshooting)
In emergencies (e.g., public health crises) to protect life and property
As otherwise provided by law
Note: If we anonymize or de-identify your information so it cannot be linked back to you, we may use that data for research, analytics, and service improvement (including machine learning and model training) without further notice or consent.
If we stop providing PodMatrix Services, we will stop collecting your information, notify you (individually or via public notice), and delete or anonymize the information we hold. For children's information, we will also notify the parent/guardian.
We use cookies, Flash cookies, and similar local storage to keep our website running smoothly, give you a better experience, and show you relevant content. Cookies store preferences, shopping cart items, and other data.
You can adjust your browser settings to reject cookies. However, this may affect your ability to use our website and may require you to change settings each time you visit.
We also use web beacons, pixel tags, and ETags. For example, emails we send may contain links to our website – if you click one, we track that click to understand your preferences and improve service. Pixel tags let us know if an email was opened. You can unsubscribe from our emails at any time.
ETags help us reduce server load and save energy. You can clear your browser cache to remove ETags, but some features may not work as well.
We use third-party SDKs in our app to provide certain features. See the appendix (not included in this translation, but referenced) for details. We vet these SDKs and contractually require them to follow strict data protection standards.
We do not share your personal information with companies, organizations, or individuals outside PodMatrix except in these cases:
Legal requirements – To comply with laws, regulations, legal proceedings, or government/regulatory requests.
With your consent – When you explicitly agree.
With affiliates – To provide our Services and maintain security, your information (including sensitive info like name, contact details, and photos) may be shared with our affiliates, based on your location and usage.
With authorized partners – We may engage partners to perform services for us (e.g., advertising, analytics, customer support, payment processing). We only share what is necessary, and contracts prohibit them from using it for any other purpose.
With service providers – Some of our Services are provided by third parties. We only share your information with them when necessary and with your separate consent.
Types of partners:
Advertising & analytics – We may share de-identified information (not directly identifying you) to help measure ad effectiveness and make recommendations.
Vendors & service providers – Technical infrastructure, customer service, payment processing, research.
We will not transfer your personal information to any company, organization, or individual except:
With your consent – When you explicitly agree.
Business transfers – If PodMatrix is involved in a merger, acquisition, or bankruptcy, we will require the new holder of your information to continue following this Policy, or we will ask for your consent again.
We will publicly disclose your personal information only:
With your consent or at your direction.
To comply with law – If you violate our terms or laws, or to protect the safety of PodMatrix members or the public, we may disclose your information as permitted by law.
As permitted by law, we may share, transfer, or disclose your information without your consent in the same exceptional circumstances listed in Section 2(C)(4). Anonymized or de-identified data that cannot be re-identified is not subject to these restrictions.
We store personal information collected in China within China. We will transfer your information outside of China only:
When required by law,
With your explicit consent, or
When you initiate a cross-border transaction (e.g., international purchase).
In such cases, we will use contracts and other measures to ensure your information is protected at least as well as described in this Policy.
We keep your information only as long as necessary for the purposes described in this Policy, considering factors like:
Developing and improving our Services
Business record-keeping for analysis or audits
Legal retention requirements
Potential or actual legal claims
Handling complaints
We use industry-standard security measures to protect your information, including encryption (SSL for data in transit), HTTPS, access controls, and other mechanisms to prevent unauthorized access, disclosure, use, modification, or loss.
We have internal policies, data classification systems, access controls, employee training, security incident response plans, and other measures as required by law.
No data transmission or storage on the internet is 100% secure. While we work hard to protect your information, we cannot guarantee absolute security. You should also take steps to protect yourself – use strong passwords, don't share credentials, log out when you're done, and follow other security best practices.
If a security incident occurs, we will notify you and report to regulators as required by law.
You have the following rights regarding your personal information:
Access – Request a copy of your information.
Correction – Correct inaccurate or incomplete information.
Data portability – Request a copy in a structured, machine-readable format and ask us to transfer it to another provider (where technically feasible and required by law).
Withdraw consent – Withdraw any consent you have given.
Deletion – Request deletion of your information.
Account deletion – Delete your online account.
Explanation – Ask us to explain this Policy.
To exercise these rights, PodMatrix members can log in to the app, go to "My" → "Contact Customer Support" for help. We will verify your identity before responding. We aim to respond within 15 days.
Our Services are not intended for minors (under 18). If you are a minor, your parent or guardian should read this Policy and consent to your use of our Services. If we learn that we have collected personal information from a minor without parental consent, we will delete it as required by law.
Any information collected through our Services is governed by the Policy in effect at the time of collection. We may update this Policy from time to time.
If we make material changes, we will notify you as required by law – for example, by posting the new Policy on our Services or sending you an email. The "Last Updated" date will change accordingly.
We encourage you to review this Policy periodically. By continuing to use our Services after changes are posted, you agree to the updated Policy. Changes are effective immediately upon posting.
If you have any questions, comments, or complaints about this Policy or our privacy practices, you may also file a lawsuit in a court of competent jurisdiction in Guangzhou, China (where we are based).
